This Privacy Policy establishes the principles, standards, and procedures by which the Eurasian Business Excellence Award (“the Award”) collects, processes, protects, and manages personal and confidential information.
The Policy applies to all entrants, nominees, winners, Expert Board members, partner organizations, representatives, and any individuals interacting with the Award through its submission platform, evaluation procedures, communication channels, or related activities.

The Award is committed to maintaining the highest international standards of confidentiality, ethical data management, and information security, reflecting the prestige and integrity of the competition.

The Award treats all information entrusted to it as sensitive and takes all necessary measures to ensure its safekeeping, including legal, administrative, and technical safeguards.
2. Governance and Responsibility
The Organizing Committee of МK GRОUP MB is the governing body responsible for:
  • establishing data protection standards;
  • monitoring compliance with this Policy;
  • authorizing access to confidential materials;
  • overseeing secure data processing and storage systems;
  • investigating incidents related to data breaches;
  • ensuring integrity in the conduct of the Award.
All employees, contractors, administrative assistants, jury members, and affiliated partners must adhere strictly to the confidentiality and data protection obligations described herein.
3. Categories of Information Collected
The Award may collect and process the following categories of information:

3.1. Entrant and Organizational Data
  • full name and professional details;
  • organizational information, legal and contact details;
  • authorized representatives of the submitting entity;
  • supporting documents, case studies, reports, and multimedia materials;
  • project strategies, methodologies, KPIs, business models, financial indicators (if voluntarily provided).
3.2. Expert Board Information
  • professional profiles, resumes, biographies;
  • contact information;
  • internal evaluations, notes, scoring sheets, and deliberation insights (strictly confidential and never disclosed).
3.3. Technical and System Information
  • system logs, platform analytics, IP addresses;
  • authentication data for secure access;
  • audit trails documenting access to confidential files.
No sensitive personal data (such as health records, political views, etc.) is intentionally collected. Entrants are advised not to include such data.
4. Purposes of Data Processing
Information is used exclusively for the legitimate operational purposes of the Award, including:
  • verifying eligibility of submissions;
  • facilitating communication between the Organizing Committee and participants;
  • enabling secure and structured project evaluation by the Expert Board;
  • organizing and conducting the Award Ceremony;
  • preparing official press releases and public announcements;
  • ensuring compliance with regulatory requirements;
  • statistical analysis and historical archiving for non-commercial purposes.
Under no circumstances is personal or project-related data used for advertising, reselling, or commercial exploitation.
5. Confidentiality of Submissions and Sensitive Materials
5.1. Strict Confidential Handling
All submitted materials — including proprietary strategies, internal reports, commercial data, business processes, creative concepts, and unpublished results — are treated as confidential and privileged.
Such materials are not shared with any third parties outside the Award’s internal processes.

5.2. Access Restrictions
Access is permitted only to:
  • designated members of the Organizing Committee,
  • assigned Expert Board members conducting evaluations,
  • technical administrators responsible for secure system maintenance.
Every individual with access is required to sign or accept binding confidentiality obligations.

5.3. Expert Board Confidentiality
Members of the Expert Board must:
  • maintain confidentiality indefinitely,
  • avoid discussing any submission outside the evaluation process,
  • refrain from using information for personal or professional gain,
  • immediately declare conflicts of interest and recuse themselves where required.
Failure to comply may result in immediate dismissal from the Board and possible legal action.
6. Public Disclosure Practices
The Award publicly releases only the following information:
  • names of winners and finalists;
  • project title;
  • short summary of the entry (as submitted for publication);
  • name of the entrant organization and country of origin.
No additional materials will be published without explicit written permission from the entrant.
Any sensitive, strategic, financial, or proprietary content is never released.
7. Data Security Measures
The Award implements multilayer security measures, including:
  • encrypted data storage;
  • restricted, role-based access controls;
  • multifactor authentication;
  • continuous monitoring of the submission platform;
  • secure backup systems;
  • adherence to cybersecurity best practices.
Systems are audited regularly to detect potential vulnerabilities.
8. Data Retention and Deletion
Submission materials and personal data are retained only for the period necessary to:
  • complete the Award cycle,
  • maintain accurate records of winners and finalists,
  • comply with regulatory obligations.
The Organizing Committee may archive anonymized materials for research, benchmarking, or historical documentation.
Entrants may request the deletion of identifiable data, except where retention is legally required or where such data forms part of historical Award records.
9. Rights of Data Subjects
Participants have the right to:
  • request access to personal data;
  • request corrections or updates;
  • request erasure of personal data (as permitted by law);
  • request clarification regarding the use and processing of their information;
  • withdraw consent where applicable.
The Organizing Committee evaluates all such requests in accordance with legal requirements and operational constraints.
10. Third-Party Sharing
Personal and confidential data is not shared with third parties unless:
  • required by law, court order, or competent authority;
  • explicitly authorized by the data subject in writing;
  • anonymized for statistical analysis.
No external entities gain access to submission materials for business or commercial purposes.
11. Data Breach Protocol
In the event of a suspected or actual data breach:
  1. The Organizing Committee immediately initiates an internal investigation.
  2. Affected individuals and entities are notified without undue delay.
  3. Measures are taken to isolate the breach and prevent further unauthorized access.
  4. Appropriate corrective and preventive actions are implemented.
The Award is committed to full transparency in such scenarios.
12. Amendments to the Policy
The Organizing Committee reserves the right to amend this Policy at any time to reflect:
  • changes in legal requirements,
  • operational adjustments,
  • technological developments,
  • improvements to data protection standards.
All revisions are published with a corresponding effective date.
